Previewing Your Data on the Label

See how your real data looks on the label before you print — step through rows, spot values that don't fit, and catch empty or invalid values.

On the canvas, a dynamic element shows its placeholder — something like {product_name}. Preview with data shows the label with the real values from your data table, so you can see how long names, prices, and codes actually fit.

Open the Preview#

Preview with data appears at the bottom-left of the canvas once your label uses data — a dynamic element, or a table with {Column} placeholders in its cells. (It's separate from Print preview in the top bar, which shows the whole printed sheet.)

  1. Add your values in the data table (Add Data in the top bar)
  2. Click Preview with data
  3. Use the ‹ and › arrows to step through your rows

The preview is drawn the same way your PDF is, so what you see is what prints. It updates as you change the design or the data.

What the Warnings Mean#

WarningWhat to do
No value for "…" in this rowThat row has nothing in the column — fill it in, or the element prints empty
"…" runs past the label edgeThis row's value is too long. Shorten it, make the element bigger, or turn on Shrink text to fit
Barcode "…": …The value can't be turned into a barcode in that format — the message says why and what to fix

When everything is fine you'll see Everything fits on this row.

Keep Long Values Inside the Label#

Select a text element and turn on Shrink text to fit in the text properties. The text then stays inside its box, getting smaller (down to a minimum size) when a value is long. Drag the box's handles to resize the box itself. The font size you set is the largest size the text will use.

Barcode Checks#

Barcode formats with a check digit (EAN-13, EAN-8, UPC-A) need a valid one. When you type a value that isn't valid, the properties panel explains the problem and offers the right value with one click. For a barcode filled from your data, it lists the rows that won't work. When you preview or print, you'll also be warned — those labels print without a barcode.
